Prove it first. Pay to keep it.

Pick the process that eats your team's week. I'll automate it for free.

I build a working automation of one real process, on your real data, at no cost. If it earns its keep, I run and look after it for a fixed monthly fee or a share of what it saves. If it doesn't, you've lost nothing.

Does it qualify

Which processes suit a proof

If it runs at least weekly, touches more than one system or a lot of paper, and someone dreads it, it is probably a good candidate.
  • Quoting

Specs arrive by email, prices live in a spreadsheet and every quote is typed out by hand.

AfterA draft quote built from the request, ready for you to check and send.

  • Invoice matching

Supplier invoices are keyed in and matched to orders line by line.

AfterMatches made automatically, with only the exceptions put in front of a person.

  • Order entry

Orders arrive as emails or PDFs and are re-keyed into your system.

AfterOrders read, validated and entered, with mismatches flagged.

  • Onboarding checks

New customers or staff need the same documents and checks, chased by hand.

AfterChecks run as the pack arrives, and gaps are chased for you.

  • Reporting

Someone spends the first days of each month pulling figures into a pack.

AfterThe pack assembles itself from source systems, on the same day each period.

  • Document chasing

Missing forms, signatures and certificates are followed up by email, one at a time.

AfterReminders go out on schedule and you see who is still outstanding.

What I look for

  • A process that runs at least weekly: quoting, invoice matching, order entry, onboarding checks, reporting
  • Work that is re-keyed between systems, chased by email or copied from PDFs
  • An owner or manager who can give two hours a week during the proof

Not a fit

  • One-off projects. The process needs to run at least weekly.
  • Anything that needs a new core system built first. That is a Better Way Review, not a proof.
  • Processes where nobody can give me two hours a week during the proof.

How it works

Three steps, the first two are free

  1. Step 1: Tell me the process

Two minutes: what it is, how often it runs, roughly how long it takes and which systems it touches.

  2. Step 2: Free working proof

I build it on your real data in 5 to 10 working days, measured against the baseline we agree on day one.

  3. Step 3: Keep it running

If it works, I host, monitor and improve it. Fixed monthly fee, or a share of the verified savings. You choose.

If it earns its keep

Fixed fee or gain-share

After the proof you choose how to pay for Run and Care. Here is the same process priced both ways.

Worked example - illustrative figures only

A process takes 12 hours a week of a person costing £30 an hour. That is about 52 hours and £1,560 every month, before errors and rework.

Fixed fee

A flat monthly price set by volume and complexity. Predictable, simple to budget.

Verified monthly saving
£1,560
Monthly fee (example)
- £450
You keep each month£1,110

Gain-share

A percentage of the verified saving, with a minimum fee. I only do well when it does.

Verified monthly saving
£1,560
My share (example 25%)
- £390
You keep each month£1,170

Percentages and fees above are examples to show the arithmetic, not a quote. Real terms are agreed after the proof, against the baseline we write down on day one.

Once a proof has earned its place, I run it for you: hosting, monitoring, fixes, model and API updates, security patches and small improvements, with a monthly report of exactly what it saved.

The monthly value report

You never have to wonder what you are paying for

One page each month: what ran, what it saved in hours and pounds, how many errors it caught and what I changed. Gain-share is calculated from the same numbers.
  • Hosting and monitoring
  • Fixes, updates and security patches
  • Monthly value report
  • Small enhancements each month
  • A published buy-out price if you ever want to own and run it yourself

Every month you get one page like this: what ran, what it saved in hours and pounds, and what I changed. Figures are checked against the baseline we agreed on day one.

Ownership

No lock-in, with a published buy-out

You should never feel trapped. The terms are simple and written down before you commit to anything.
  • Your data is always yours. I never hold it hostage and I delete it on request.
  • During Run and Care, I license and operate the automation for you: hosting, monitoring, fixes and updates.
  • A buy-out price is published up front. Pay it at any time and the code and documentation are yours to run or hand to anyone.
  • Run and Care has a 6-month minimum, then rolls monthly. Nothing is tied to the free proof.

3 free proofs a month

Each proof is built by me, personally, on your real data. I cap them so every one gets proper attention. If this month is full, your application goes to the front of the next.

Questions

Before you apply

What's the catch with a free proof?

There isn't one, but there is a filter. I only take on processes that run at least weekly, can be measured, and have an owner who can give two hours a week. I cap free proofs each month so every one gets proper attention. If it works, most people want to keep it running, and that is how I get paid.

How does gain-share work?

We agree the baseline in writing before I build: hours, cost, error rate or revenue. Each month the value report compares the same measures. My fee is an agreed percentage of the verified difference, with a minimum fee. If the value can't be measured from your own systems, we use a fixed fee instead.
